Job Summary
Our team is looking for a self-motivated Office Assistant to organize and run the daily administrative operations of the Company. This will require an individual able to undertake a variety of office support tasks and work diligently under pressure. This position will also require a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Role and Responsibilities
- Greet and direct visitors in a Professional Manner
- Process, sort, and route all incoming/outgoing mail in a timely manner including retrieving mail from Caliber CSCS
- Manage conference and training room calendars
- Coordinate and schedule meetings and appointments
- Monitor and manage office supply inventory and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Coordinate with other departments to ensure compliance with established policies
- Ensure the lobby, office, training/conference rooms and lunch areas remain clean and fully stocked daily
- Cater lunch and/or organize any special events as required
- Order name tags and business cards as needed
- Assist teammates with travel logistics and expense reporting as needed
- Create and update records as required ensuring accuracy and validity of information
- Assist other departments as needed
- Maintain Building security program-assign key cards, call for maintenance, etc.
- Daily deposit
- Scan AP statements into shared drive
- Other administrative duties as assigned
- Support onboarding process with welcome calls and quality calls, partnering with the talent acquisition leader
Qualifications and Education Requirements
- High school diploma or GED
- Minimum 2 to 4 years of relevant experience in an administrative or clerical role
- Excellent organizational skills, ability to prioritize, and comfortable working independently
- Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
- Maintain a well-groomed, professional appearance
- Ability to lift and carry objects weighing up to 25lbs
